Procurement Specialist
Job Overview
We are looking for a proactive Procurement Specialist to oversee the procurement processes for both warehouse and branch purposes. This role involves sourcing suppliers, preparing purchase orders, and ensuring timely delivery of goods to both warehouses and branches. The ideal candidate will have a strong understanding of procurement processes, excellent supplier negotiation skills, and the ability to manage orders effectively to ensure that clients receive their products as requested.
Key Responsibilities:
Procurement Management for Warehouse and Branches:
- Oversee procurement operations for both warehouse and branch requirements, ensuring the timely and cost-effective supply of goods and materials.
- Coordinate with internal teams (warehouse managers, branch managers) to understand procurement needs and prepare accurate purchase orders based on inventory requirements.
- Maintain inventory levels to ensure that both warehouse and branches have adequate stock without overstocking.
Supplier Sourcing and Relationship Management:
- Source new suppliers, evaluate their offerings, and establish reliable vendor relationships to meet the company's procurement needs.
- Negotiate favorable terms and pricing with suppliers to ensure cost efficiency and the best possible service delivery.
- Manage existing supplier relationships, monitor supplier performance, and resolve any issues related to product quality, delivery schedules, or pricing discrepancies.
Purchase Order Preparation and Tracking:
- Prepare and issue purchase orders for warehouse and branch requirements, ensuring all necessary details (quantities, specifications, prices, and delivery dates) are included.
- Track the progress of purchase orders to ensure timely deliveries, following up with suppliers as necessary to resolve any delays.
- Monitor the status of orders to ensure that both warehouse and branch needs are met within required timelines.
Inventory and Stock Management:
- Ensure that warehouse inventory levels are consistently monitored and maintained to meet operational demands.
- Coordinate with the warehouse team to ensure that goods are received, stored, and distributed properly.
- Assist in stocktaking processes and help identify trends or issues that may impact supply chain efficiency.
Ensuring Timely Client Deliveries:
- Work closely with the logistics team to ensure that products are delivered to clients from both warehouses and branches on time.
- Address any supply chain or delivery issues that may impact client satisfaction, working proactively to find solutions.
Procurement Documentation and Record-Keeping:
- Maintain accurate and up-to-date procurement records, including purchase orders, supplier agreements, and delivery documents.
- Ensure compliance with company procurement policies and procedures.
- Generate reports on procurement activities, supplier performance, and inventory management.
Compliance and Vendor Evaluation:
- Ensure that all procurement activities are in compliance with legal and company standards.
- Conduct regular supplier evaluations to assess performance in terms of pricing, quality, and timely delivery.
- Assist in reviewing contracts and negotiating terms with suppliers, ensuring they align with company goals and procurement standards.
Other Duties:
- Perform other duties as required by the procurement and supply chain teams, including assisting in the preparation of reports or supporting operational needs across departments.
Required Skills and Qualifications:
- Bachelor’s degree in Business, Supply Chain Management, Procurement, or a related field.
- Preferably with experience in procurement, preferably with experience in both warehouse and branch operations.
- Strong knowledge of procurement processes, including supplier sourcing, negotiation, and order management.
- Excellent communication skills to manage relationships with suppliers, internal teams, and clients.
- Solid negotiation skills to ensure cost-effective and efficient procurement.
- Proficiency in procurement software and systems (e.g., ERP systems).
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks and priorities simultaneously.
- Ability to work independently and as part of a team to ensure procurement goals are met.
